SlotAI ("we", "our", or "us") is operated by Toolvana. This Privacy Policy explains how we collect, use, and protect your information when you use our Gmail Add-on and scheduling services.
1. Information we collect
When you use SlotAI, we collect the following information:
- Google account information: Your email address, name, and profile picture obtained through Google OAuth.
- Calendar data: We access your Google Calendar to check availability and create meeting events. We do not store your full calendar — only free/busy information used for scheduling.
- Email metadata: Subject lines, sender/recipient email addresses, and email Date headers (for timezone detection). We do not read the body content of your emails.
- Meeting data: Information about meetings you schedule through SlotAI, including attendee emails, selected time slots, and meeting status.
- Usage data: Number of meetings scheduled per month for billing purposes.
2. How we use your information
- To check your calendar availability and generate meeting time slots.
- To create calendar events and send meeting invitations.
- To detect customer timezones from email Date headers.
- To generate AI-powered email drafts with scheduling options.
- To enforce plan limits (free tier: 5 meetings/month).
- To provide customer support when requested.
3. Data storage and security
Your OAuth tokens are encrypted using AES-256-GCM encryption before being stored in our database. We use industry-standard security practices including HTTPS for all data in transit.
We store your data on secure cloud infrastructure (Neon PostgreSQL) located in Southeast Asia. We do not sell your data to third parties.
4. Google API data usage
SlotAI's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically:
- We only request the minimum scopes necessary (calendar access, email read-only).
- We do not use Google user data to serve advertisements.
- We do not allow humans to read your email content.
- We only use calendar data to check availability and create meeting events on your behalf.
5. Third-party services
SlotAI integrates with the following third-party services:
- Google Calendar API — for calendar access and event creation.
- Zoom — optional integration for generating Zoom meeting links.
- Anthropic Claude API — for AI email drafting. Email subjects and meeting details may be sent to Anthropic for processing. No personal calendar data is included.
6. Data retention
We retain your account data for as long as your account is active. Meeting records are retained for 12 months. You may request deletion of your data at any time by contacting us at support@toolvana.in.
7. Your rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Revoke Google OAuth access at any time via your Google Account settings.
- Disconnect Zoom integration from the SlotAI settings page.
8. Children's privacy
SlotAI is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through the app. Continued use of SlotAI after changes constitutes acceptance of the updated policy.
